This Privacy Policy describes how 4Sight Designz Ltd., a corporation incorporated under the laws of Trinidad and Tobago ("Company", "4Sight", "we", "us", or "our"), collects, uses, discloses, and safeguards personal data obtained through the Studio Management PRO multi-tenant software application, client portals, APIs, and associated web services (collectively, the "Platform" or "Services").

This Privacy Policy applies to all studio owners, studio administrators, instructors, teachers, students, dancers, parents, legal guardians, and visitors who access or use Studio Management PRO ("User", "you", or "your").

1. DATA CONTROLLER & DATA PROCESSOR ROLES

Under applicable legal frameworks:

Subscriber / Studio Owner as Data Controller: When a studio or business entity subscribes to Studio Management PRO and inputs personal information regarding its instructors, staff, students, or parents into the Platform, the Subscriber acts as the Data Controller. The Subscriber determines the purposes and means of processing that personal data.
4Sight Designz Ltd. as Data Processor: 4Sight acts as a Data Processor processing personal data solely on behalf of, and in accordance with the documented instructions of, the Subscriber (as detailed in our [Data Processing Agreement (DPA)]).
4Sight as Data Controller for Direct Accounts: 4Sight acts as a Data Controller for personal data provided directly by account administrators when purchasing a subscription, communicating with support, or browsing our primary websites.

2. INFORMATION WE COLLECT

We collect information directly from you, automatically through your interaction with the Platform, and from third-party service integrations.

2.1 Information You Provide Directly

Account Registration: Full name, business name, email address, telephone number, job title, and password credentials.
Studio Roster & Profiles: Information entered regarding staff, instructors, students, and parents, including full names, dates of birth, emergency contact details, dance skill levels, and class enrollments.
Financial & Billing Information: Billing address, tax identification details (where applicable), bank payment transfer receipts, and payment logs. (Note: Credit card details are processed directly by payment gateways and are never stored on 4Sight servers).
Support Communications: Messages, support tickets, feedback, and attachments sent to support@4sightdesignz.com.

2.2 Information Collected Automatically

Log & Technical Data: Internet Protocol (IP) address, browser type, operating system, platform language, access times, referring URLs, and system error logs.
Device Identifiers: Mobile device type, unique device identifiers, and hardware specifications.
Usage Data: Pages viewed, modules accessed, feature interaction metrics, time spent per session, and system navigation paths.

2.3 Information Collected from Third-Party Integrations

When you connect or interact with integrated third-party platforms inside Studio Management PRO, we may receive data consistent with your authorization settings:

Payment Gateways (WiPay, Stripe): Transaction IDs, payment verification statuses, card brands, last four digits of card numbers, and payout confirmations.
Google Cloud & Firebase Services: Authentication tokens, user identifiers, and push notification tokens.
Messaging Platforms (WhatsApp Cloud API, Resend, SendGrid): Delivery confirmation logs, message delivery status, and recipient contact handles.

3. HOW WE USE YOUR INFORMATION

4Sight Designz Ltd. processes collected data for the following specific business and operational purposes:

Service Delivery & Provisioning: To operate Studio Management PRO, manage studio tenant accounts, process class enrollments, track attendance, and display student/instructor schedules.
Transaction Processing: To process subscription fees, invoice generation, bank transfer receipt verification, and online payment logging.
Communication & System Alerts: To deliver operational notifications, schedule changes, booking confirmations, password resets, and invoices via email, SMS, or WhatsApp messaging integrations.
Platform Support & Maintenance: To respond to user inquiries, troubleshoot technical issues, fix software bugs, and verify system integrity.
Security & Fraud Prevention: To monitor account activity, prevent unauthorized tenant access, enforce our Terms of Service, and safeguard cloud infrastructure.
Analytics & Platform Improvement: To analyze usage trends, optimize user workflows, evaluate system performance, and design new platform features.

4. THIRD-PARTY INFRASTRUCTURE & SUBPROCESSORS

To deliver Studio Management PRO, 4Sight Designz Ltd. engages trusted third-party service providers ("Subprocessors"). All Subprocessors are evaluated for data security and are contractually required to process data solely for permitted purposes.

5. DATA STORAGE, RETENTION & TRANSFERS

5.1 Data Storage

Studio Management PRO utilizes secure cloud infrastructure hosted via Google Cloud / Firebase platforms, adhering to SOC 2, ISO 27001, and enterprise-grade physical and digital security standards.

5.2 Data Retention

We retain personal data for as long as your studio account remains active or as required to provide the Services:

Active Accounts: Studio Data is maintained throughout the active subscription term.
Terminated Accounts: Following subscription cancellation or account termination, Studio Data is retained for a grace period of thirty (30) calendar days to facilitate data export. After 30 days, data is permanently purged or anonymized, unless statutory retention (e.g., tax or financial audits) requires longer storage.
Transactional Logs: Financial and billing transaction records are retained for a minimum of seven (7) years to comply with statutory accounting laws in Trinidad and Tobago.

5.3 Cross-Border Transfers

Because cloud infrastructure spans distributed datacenters, your data may be processed or stored outside your country of residence. 4Sight Designz Ltd. enforces technical safeguards, including TLS 1.3 encryption in transit and AES-256 encryption at rest, to protect data across international boundaries.

6. DATA SECURITY MEASURES

4Sight Designz Ltd. implements robust administrative, technical, and physical safeguards designed to prevent unauthorized access, loss, destruction, alteration, or disclosure of personal data:

Encryption Standards: Data in transit is secured using modern Transport Layer Security (TLS 1.3). Data at rest within database storage is encrypted using AES-256.
Tenant Logical Isolation: Multi-tenant architecture logically isolates studio databases so that no tenant can access another tenant's Studio Data.
Role-Based Access Control (RBAC): Access to platform databases is restricted to authorized personnel who require access to perform system maintenance.
Routine Security Audits: We perform periodic code reviews, vulnerability scans, and system log reviews to maintain platform defenses.

No web platform or internet transmission can guarantee 100% absolute security. In the event of a confirmed security incident affecting your personal data, 4Sight Designz Ltd. will notify affected account administrators without undue delay in accordance with applicable laws.

7. USER RIGHTS & DATA CHOICES

Depending on your local jurisdiction, you and your Authorized Users may hold rights regarding your personal data:

Access & Portability: The right to request copies of personal data stored within Studio Management PRO or export studio data in standard formats (CSV/JSON).
Rectification: The right to correct inaccurate, incomplete, or out-of-date personal information via profile configuration dashboards.
Deletion / Right to be Forgotten: The right to request deletion of personal data, subject to statutory record retention requirements.
Consent Withdrawal: The right to withdraw consent for non-essential data processing or opt out of promotional communications at any time.

Exercising Your Rights:

If you are an instructor, student, or parent accessing Studio Management PRO through a specific studio account, please direct your privacy or deletion request to the Studio Owner / Administrator (the Data Controller).

8. PROTECTION OF MINORS

Studio Management PRO is designed to assist dance studios, academies, and instructional centers, which often serve minor students under eighteen (18) years of age.

We do not knowingly collect personal data directly from minors without the authorization and supervision of a parent, legal guardian, or authorized studio administrator.
Studio administrators and parents/guardians are responsible for ensuring appropriate legal consent is maintained when entering minor profile information into the Platform.
If we discover that personal data of a minor has been collected without requisite parental authorization, we will take immediate steps to delete or anonymize that data upon notice.

9. THIRD-PARTY LINKS & INTEGRATIONS

The Platform may contain links to third-party websites, external forms, or services. This Privacy Policy does not apply to third-party websites or services that are not controlled or operated by 4Sight Designz Ltd. We encourage you to review the privacy policies of any third-party services you access.

10. CHANGES TO THIS PRIVACY POLICY

4Sight Designz Ltd. reserves the right to revise or update this Privacy Policy periodically. When updates occur, we will update the last_updated date at the top of this document and notify account administrators via platform alerts or email at least fourteen (14) days prior to material changes taking effect. Continued usage of Studio Management PRO after updates become effective constitutes acceptance of the revised Privacy Policy.
